Data Privacy/GDPR Policy

This policy sets out how I use and protect any information given to me by clients within my work as Jane Spencer Editorial.

I am committed to protecting my clients’ privacy. Should I ask you to provide identifiable information, you can be assured it will only be used in accordance with this privacy policy.

From time to time I may update this policy page. You should check this page periodically to ensure they are satisfied with any changes.

Your Personal Data

During the course of working with my clients, I may collect the following information:

  • name
  • organisation and job title
  • contact information, including email address
  • demographic information, such as geographic location, postcode, academic courses followed, or interests
  • other information relevant to our work together

I require this personal information for the following reasons:

  • providing the products and services you have requested
  • administering your account
  • internal record keeping
  • sending emails and newsletters sharing news and other pertinent information

What I do with personal data

All personal data is processed solely by me and kept on password-protected devices. However, for the purposes of IT hosting and backups, this information may be located on servers located elsewhere. No third parties have access to your personal data, and we abide by all UK data protection legislation.

How long I keep personal data

If you engage my services, I will hold your information and any files provided by you in case these are relevant for future projects (for example, I may keep a copy of a manuscript in case I am asked to edit future books by the same author, as it may be helpful to refer back to earlier editorial decisions). As soon as I deem the information and files to be no longer needed (for example, if I believe I will not have any further contact with the author), they will be deleted. Should you wish your files to be deleted before that time, please email me to request this.

I may occasionally have products (such as books) for sale. If you have purchased a product, then by law I am required to keep your personal data as a record of that transaction for seven years in order to comply with legal obligations.

Contacting You

I use your personal data to contact you. I would like to send you this information by email direct to you or via my email newsletters (only if you agree).

From time to time I may contact you with details of services, offers, competitions or products which I provide (only if you agree).

I will never sell, distribute or lease your personal information to third parties unless I have your consent or are required to do so by law.

Please note: you can unsubscribe from these communications at any time.

Your right to correct your information

If at any point you believe the information which I have for you is incorrect, you can correct it – simply contact me and I will action your request.

Your right for information

You may request details of personal information that I hold about you under the Data Protection Act 1998. If you would like a copy of the information I hold, please email me at jane @ janespencereditorial.co.uk

Your right to unsubscribe

If you’d rather not receive my newsletters, you can simply unsubscribe from my mailings via the unsubscribe link at the bottom of each newsletter email. You can also unsubscribe by emailing me at jane @ janespencereditorial.co.uk and I will remove you from my records.

Your right to be forgotten

I may occasionally sell products, such as books. If you have purchased a product from me, then by law I am required to keep your personal data as a record of those transactions for seven years. I am committed to ensuring that personal information is secure. In order to prevent unauthorised access or disclosure, I have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information collected online, for example using password-protected devices.

How Jane Spencer Editorial uses cookies

The Jane Spencer Editorial website uses traffic log cookies to identify which pages are being used. This helps me analyse data about web page traffic and improve my website in order to tailor it to customer needs. I only use this information for statistical analysis purposes, then the data is removed from the system.

Overall, cookies help me provide users with a better website, by enabling me to monitor which pages users find useful or not. A cookie in no way gives me access to a user’s computer or any information about users, other than the data users choose to share with me.
